Primary Responsibilities
• Manage the Document Management Processers workload to ensure they are meeting the department’s established service level agreement. Reorganize work priorities and backlogs as required.
• Prepares daily status reports and distributes to the Leadership team.
• Direct Processors on processing error resolutions.
• Distribute all mail received in the department and assign additional workload to the staff.
• Ensure the invoices generated by Supplier Billing and Accounts Payable are mailed to the Supplier Billing Representative with proper documentation.
• Ensure that all checks given to their department by the Accounts Payable department are mailed out the same day.
• Provide training to all new and existing Document Management employees.
• Maintains all Document Management training documentation, updating as necessary
• Trains divisional and other department users on Enterprise Scan and SAP.
• Initiates and participates in business process improvement activities
• Recommend and implement effective and efficient processes.
• Contributes to Interview of prospective employees and provide recommendation on any hiring decision.
• Participates on staff progressive disciplinary action.
• Review late archiving documents not linked in SAP and concatenate missing transaction
• Provide excellent customer service by researching and resolving internal and external customer issues
• Supports internal and external audit activities, as required, to ensure that auditors are provided with the necessary information to complete their audits timely.
Minimum Qualifications
- At least 3 to 6 years of experience in the field or related area.
- Excellent communication skills (verbal & written).
- Confidentiality of employees or business information is required.
- Possess managerial and training skills.
- Strong analytical and interpersonal skills.
- Experience in Business or Accounting principles.
- Must be able to communicate effectively both in writing and verbally, shifting communication styles depending on the audience.
- Team Player, energetic, self-starter, motivator
- Ability to organize and prioritize workload to meet aggressive deadlines
- Must be proficient in excel.
Physical Demands
- Physical demands with activity or condition for a considerable amount of time include sitting and typing/keyboarding using a computer (e.g., keyboard, mouse, and monitor) or adding machine
- Physical demands with activity or condition may include occasional to rare amount of time include walking, bending, reaching, standing, and stooping
- May require occasional lifting/lowering, pushing, carrying, or pulling up to 20lbs
