Overview
Responsible for supporting inventory control operations through clerical tasks such as verifying and processing receiving and transfer reports, maintaining accurate inventory records, and coordinating with various departments
Primary Responsibilities
- Provide general clerical support for inventory control, including inventory receiving and physical inventory processes. Verify and proof all receiving and transfer reports before entering them into the system
- Request item codes or initiate changes to purchase orders to ensure accurate audit matches. Make necessary adjustments to receivers and transfers. Process sample documentation for wine (out-of-state) and liquor (in-state and out-of-state). Create and input transfer records
- Maintain, organize, and batch documentation for receivers, transfers, and adjustments, including scanning and digital archiving
- File daily receiving reports and forward receiver and adjustment batches to the UC team. Copy and send the receiving log to UC at the end of each month
- Review and process receiving reports, transfers, and adjustments using tab runs and bills of lading to ensure accuracy. Make corrections as needed
- Investigate and resolve inventory discrepancies related to receivers, transfers, and other transactions. Perform necessary corrections
- Assist with data entry and updates from purchasing, pricing, accounting, and warehouse departments.
- Conduct physical inventory inspections to verify product quantities, descriptions, and vintages. Process adjustments and verify costs using SAP
Additional Primary Responsibilities
- Handle paperwork related to winery direct shipments. Enter location changes, movements, UPCs, and product specifications promptly
- Process and maintain daily reports on warehouse breakage and spoilage, including related supplier billing documentation
- Manage paperwork related to claims and perform other duties as assigned by the manager or lead.
- Collaborate with the receiving department and recoup area to verify counts of damaged or missing products
- Support physical inventory preparation, enter physical inventory counts, and assist with inventory reconciliation. This includes pulling supplier invoices from SAP and auditing receivers, transfers, and other inventory-impacting transactions. Make corrections as necessary
- Maintain the Chain Pallet log and submit it to accounting by the monthly deadline
- Perform other related duties as assigned
Minimum Qualifications
- High School Diploma or GED with 1–2 years of relevant experience
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and 10-key data entry by touch
- Strong verbal and written communication skills, with the ability to collaborate effectively across departments and management levels
- Skilled in prioritizing tasks and managing multiple projects under tight deadlines
- Detail-oriented with excellent organizational abilities
- Accurate data entry and solid basic math skills
Physical Demands
- Physical demands with activity or condition for a considerable amount of time include sitting and typing/keyboarding using a computer (e.g., keyboard, mouse, and monitor) or adding machine
- Physical demands include a considerable amount of time walking, bending, reaching, standing, squatting, and stooping
- Must be able to frequently lift/lower, push, carry, or pull 45lbs
